Verification Q&AWho is selected for verification?Approximately thirty percent of all applicants for financial aid are selected by the federal government for verification. Crown College selects an additional ten to twenty percent of student financial aid files for this process. Students are selected at random if their FAFSA appears to have inconsistent information and/or if they used estimated tax information on their FAFSA. What documents does Crown need to complete verification?Verification Worksheet, signed by student and parent or student and spouse, if married. The Crown College Financial Aid Office will send this to you or you can print it out from the forms page. Signed copy of Federal Tax Return for student and parent(s) or student and spouse, if married. If you or your parent(s) filed a tax return but did not keep a copy, you can request a summary transcript from the Internal Revenue Service (800) 829-1040 or complete a written request submitted on IRS Form 4506. The "Request for Copy or Transcript of Tax Form," is available at http://www.irs.gov/formspubs/lists/0,,id=97817,00.html Copy of W-2 forms for student and parent(s) or student and spouse, if married. If further clarification of certain items is needed, the College may request additional documentation. What is the verification process?Once Crown receives your FAFSA, a tracking letter is sent to you indicating what additional information and documents we need from you. After all requested information is submitted to the Financial Aid Office, your file will be reviewed. If the Financial Aid Office has further questions regarding your file, another tracking letter will be sent to you asking for further clarification. It is the student's responsibility to respond to these requests for information. If you fail to do so, your file will be on hold until all missing information has been received. We urge you to contact the Financial Aid Office at any time with verification questions. If my file is being verified, when will I receive notification of my award?If the Financial Aid Office has no further questions after reviewing your initial verification documents, you can expect a Notification of Award within two weeks of submitting this information. If corrections need to be made to your file due to inconsistencies between the FAFSA and verification documents, your financial aid award may take from three to four weeks to be processed. Note: The Student Billing Office will not reverse finance charges that accrue as a result of a delay in awarding due to late verification. Verification Deadlines/TimelinesIt is always in your best interest to submit your verification documents as early as possible so you may receive full aid consideration. For students attending only the fall semester, all verification documents must be submitted to the Financial Aid Office no later than December 1. If documents are received after this date, Crown cannot assure you receipt of any financial aid funds (e.g., grants, scholarships, and loans). Note: To distribute funds for Federal Pell Grant or Stafford loans (assuming you show eligibility), federal regulations state that the Financial Aid Office must be able to complete your verification within 60 days of your last day of enrollment at Crown or before August 30th whichever date is earlier. Commonly Asked Verification Questions1. What if I did not keep a copy of my tax return? If you do not have a copy of your federal tax return, you may request a summary transcript from the Internal Revenue service (IRS) by calling 1-800-829-1040 or complete a written request submitted on IRS Form 4506. Please note, it may take up to six weeks before you receive this tax listing. 2. What if I have not filed a tax return yet? If a tax return has not yet been field and a filing extension was granted, you will need to submit Proof of the Extension (copy of IRS form 4868), copies of all W-2s and a statement detailing your best calculation of your Adjusted Gross Income and taxes paid for the year. The Financial Aid Office requires a copy of the official return once it has been filed. Please note, an official financial aid award cannot be calculated until the completed tax return has been submitted to the Financial Aid Office. 3. What if my parents are divorced but filed a joint tax return? In this case, you would need to submit the joint tax return to the Financial Aid Office and detail each line indicating what portion of each figure belongs to each parent. You will also need to submit the W-2's for the parent who provided data on the FAFSA. We will only count the income of the parent who provided the FAFSA information. 4. What tax return do I submit if my parent is remarried? If the parent who is supporting you is remarried, we will need tax returns for that parent as well as the stepparent. We will need the stepparent's tax return even if he/she does not support you or help pay for your education. This is a federal government requirement. 5. What tax return do I submit if my parent is widowed? 6. What tax returns do I submit if I was married at the time I completed the FAFSA but not married in the last tax year? Although you were not married during the tax year for which the FAFSA is requesting data, you are married now and that is the status you must use. You must, therefore, submit your federal tax return and your spouse's federal tax return. |
